What we collect, and why

Enquiries

When you use the contact form, or ask the site assistant to pass something to the team, we receive your name, email address, phone number if you give one, and your message. We use it to reply to you. Lawful basis: our legitimate interest in answering the people who contact us.

Mailing list

If you join the mailing list we keep your email address, your first name if you give it, and a record of the consent you gave (the wording, the date and the page you signed up on). We use it to send club news, membership and coaching updates and event invitations by email, and by text if you have given a number. Lawful basis: your consent, which you can withdraw at any time using the unsubscribe link in any email, by replying STOP to a text, or by emailing us.

The site assistant

The assistant answers questions from the club’s published information. What you type is sent to Anthropic’s Claude service to generate the reply. Your conversation is kept in your own browser for the current visit only; we do not store it unless you ask for the team to follow up, in which case it is treated as an enquiry. Please do not put sensitive personal details into the assistant.

Bookings

Court bookings and payments are handled by our booking system, Padel Mates, which is embedded on our booking page and has its own privacy notice. Padel Mates, not this website, processes your booking and payment details.

Website analytics

We count page views using a first-party, cookie-free measurement service. It records the page visited and the time, not who you are, and sets nothing on your device.

Who we share it with

We use a small number of service providers to run the site and the mailing list, each under a contract that restricts them to acting on our instructions:

  • Brevo (France, EU): our email and contact list.
  • Railway (EU, Amsterdam): website hosting.
  • Cloudflare: domain, security and file storage.
  • Anthropic (United States): the site assistant. Transfers outside the UK are protected by the safeguards recognised in UK data protection law, including the International Data Transfer Addendum to the standard contractual clauses.

We do not sell personal information and we do not share it with anyone else unless the law requires it.

How long we keep it

  • Enquiries: up to 12 months after our last exchange, then deleted.
  • Mailing list: until you unsubscribe, after which your address is suppressed so we do not email you again.
  • Analytics: page-view counts for up to 12 months.

Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct or delete it, restrict or object to how we use it, ask for it in a portable format, and withdraw consent at any time. Email contact@padelquarter.net and we will respond within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Children

The mailing list and contact form are for people aged 16 and over. Junior coaching enquiries should come from a parent or guardian.

Changes

If this notice changes we will update the date at the top. Significant changes will be flagged on the website.
